These are Draft Minutes of the AGM last night - The actual Minutes of the AGM will be prepared and sent to you from the Administrators office very soon.
Please note I have attached AGM Agenda, Expenses for 2008/09 and the Budget for 2009/10 for your attention incase you did not receive them.
The points raised last night at the AGM and discussed at length, were in accordance with the Agenda / Calling.
1. The Expenses were not correct, therefore: Not approved. One point raised: the cost of repairing the community pool: €11,350.02 with 2 year guaranatee !!
2. The Board. Total change. Nikki resigned. President. Norah Bond No 433. Vice President is Marco Sappa no 490 and 491. Approved The committee members are as follows: Alan Cole 423, Mike Hampson 403, Paul Wyatt 428, Eric Bond 433, Nikki Murray 458 and Roy Hardman 472. Approved
At this stage, we all thanked Nikki for her hard work over the years and asked her to stay on the committee as she has so much to offer the new board. Her knowledge and expertise wiill be valuable to us all. Nikki accepted.
3 . The Budget: after lengthy discussion, the Owners stated that the costs were too high, a priority is to work out ways to reduce costs Approved
4. Date of next year's AGM. 9th June 2010. Approved
5. Debtors. It was approved to take legal action against Owners who owe community fees. See the list of Debtors on the Agenda Approved
6. The Villamartin pool. To keep it as swimming pool and repair it. 37 Votes for - 10 against Approved
(We have not yet paid for the pool, we are waiting for the paperwork to be sorted before we pay).
The Owners requested quotations to repair the cracks in the pool and make it fit to use, as folllows:
a) Re-line it with concrete and paint it with plastic, not tile the pool, possibly less cost, as the tiles have to be regrouted every 2/3 years, as they work loose over time from the acid in the chemicals used to keep the pool clean and safe to use.
b) Repair the cracks, reline with concrete and tile the pool similar to the community pool.
c) To make the pool shallower, with either option above, this will result in the community complying with health and safety and help the disabled and non swimmers at the same time. It would need less water, resulting in less cost.
7. Other Business:
Illegal and Long stay parking. a) It was agreed to write to all Owners, requesting they park their car at the rear of the urbanisation when they return to their home country - not staying at Montilla IV. b) A car that has not moved for more than 2 years. Ask the owner if they intend to keep and use the car, if they do not, the community approved to have it removed. If the owner does wish to keep the car and have it repaired to use it, we request the owner to move it to the rear of the urbanisation. Not to move it there to be left as it is now. c) The Villamartin pool, quotations requested for a fence to be placed round the pool to comply with health and safety legislation, we are not covered by insurance should an accident occur. d) The vehicle gate to the rear is rusty, needs attention, painting. e) Keys for vehicle gate to the rear side road access, are available. Cost €1. f) Parking on yellow lines and across the dropped curb for disabled access to pool area :
It was agreed to move the garden pots by the pool area, to be placed along the yellow lines at right angles, to ensure no vehicles park on the yellow lines in future and to make sure that no vehicles block the entrance to the underground garage. The urbanisation has to comply with health and safety legislation, for emergency services, Fire Crews, Ambulance etc. The suggestion to use the garden pots will result in no further cost to the urbanisation. (treat the guys to a beer when your out ok.. The pots are heavy).
